Sponsor Fulfillment Checklist

Use this sponsor fulfillment checklist to manage sponsor assets, deadlines, signs, posts, event roles, proof, recap, and renewal follow-up.

A fulfillment checklist protects the sponsor, the organization, and the person doing the work. Create one record for each sponsor and update it throughout the term. The checklist should reflect the actual agreement, not a generic list of things you hope to do.

Before the sponsorship begins

Check Why it matters
Confirm contribution and contact Prevents confusion about what was agreed and who can approve changes.
Collect logo, link, offer, and brand instructions Gives staff time to prepare approved materials.
Confirm deliverables and dates Turns promises into manageable tasks.
Check venue, event, and platform rules Avoids offering an item that cannot be used.
Assign an internal owner Makes one person accountable for each item.

During the term or event

Confirm that signs, posts, links, vendor space, announcements, products, and other items appear as agreed. Take proof as work is completed. If a sponsor is on-site, make sure the contact knows where to go and who can help.

After delivery

Review the checklist against the agreement. Gather photos, screenshots, attendance or activity data where available, and notes about changes. Send the thank-you and recap promptly. Then set a reasonable reminder to discuss renewal before the next event or season is planned.
