Proof of sponsorship documents the work your organization completed. It may include photos of signs, screenshots of posts or website placements, links, setup records, event notes, product-delivery records, or an approved sponsor message. Gather proof as you deliver the agreement, not weeks later when details may be difficult to reconstruct.
Match proof to the deliverable
| Deliverable | Useful proof |
|---|---|
| Banner or court sign | Dated photo showing the sign in its actual location. |
| Website link or feature | Screenshot, live URL, placement date, and duration record. |
| Newsletter or social post | Screenshot, date, link, and copy or creative approval record. |
| Vendor table | Photo of the approved setup, location, and scheduled hours. |
| Product contribution | Delivery record, product photo, and evidence of approved use. |
| Program support | Brief description of what was provided with permitted supporting images. |
Respect permissions and rules
Before publishing photos or sharing them with a sponsor, follow the event, venue, organization, and applicable privacy rules. Be especially careful with children, participants who have not agreed to be photographed, medical or personal information, and sponsor claims. Sponsor approval may also be needed for logo use, product photos, or public statements.
Photos and screenshots are useful fulfillment evidence when paired with a clear list of what was promised and delivered. [6]
