An in-kind request should be specific. Ask for an item, service, or resource the organization can use. Explain the quantity, timing, delivery, and recognition. A vague request for “anything you can donate” makes it difficult for a business to assess fit or approve the request.
State the need clearly
| Weak request | Clear request |
|---|---|
Can you donate to our tournament? |
We need 150 sealed water bottles delivered by [date] for the player hydration station. |
We need a sponsor for our club. |
We are seeking printing support for 200 clinic handouts and two event signs. |
Would you provide a prize? |
We are seeking one family restaurant gift certificate for the approved participant drawing, valued at approximately [amount]. |
Confirm the logistics
Tell the business whether you need a product, delivery, pickup, staff support, setup, storage, or a specific service date. State what the organization will provide in return. For example, the business may receive a sign, product display, website recognition, event mention, or thank-you in the recap. Do not promise more promotion than you can deliver.
Some businesses use donation forms, have restricted product categories, or need lead time. Check the business website and ask early. Also confirm that the venue and event rules allow the item or activity before you accept it.
Next step: List your in-kind sponsorship need
